Effective Forms For A Business Virtual Assistant

People ask me all the time how I manage the work my business virtual assistant does for me. There are three methods of communication we use: skype, e-mail, and google docs. Below are screen shots of the simple google docs I use to keep projects moving forward, have clear expectations, and track everything my business VA does.

There’s more down below that you can’t see, but that doesn’t matter. The form you create for your own business virtual assistant will obviously have it’s own details. Notice the four sheets involved in the form, tasks, websites, video instructions, and hours. Here’s a detail of each one:

Tasks. Broken down into daily routine, weekly routine, and current assignments. Because the google doc is a living form, either of us can edit or add to it easily so we are always on the same page.

Web-sites. This is a complete list of all my web-sites, including capture pages, landing pages, one time offers, thank you pages etc. This makes it very easy for my business virtual assistant to create new forms, and be able to quickly see what the next page URL would be, for example.

Video Instructions. Once I create a video, there is a list of instructions that include tags, media author, sites to publish to, etc. Each time I send him a video, I create a column for that video with those instructions, as seen below:

Hours. This is a very simple sheet:

As you can see, it’s very simple. Every day when he’s done he posts how many hours he worked, and each week when I pay (using paypal) I simply add up the hours, pay accordingly ($4 an hour) and then make a note of the date I paid.
